Everything you need to know before applying for one of our rentals.
Thank you for working with Providence Property Management for your housing needs! To best serve you, we believe it's important for you to fully understand our application policies and procedures.
Each adult over the age of 18 must submit a separate application. The application fee is $49 per adult and is non-refundable. If you have any questions, contact our office at team@leasewithprovidence.com during business hours: Monday-Friday, 9 AM to 5 PM EST.
Providence Property Management fully complies with Fair Housing Laws. We don't discriminate based on race, color, religion, sex, handicap, familial status, national origin, or age.

What You'll Need to Apply
To be considered, your application must include:
- A fully complete and signed Providence Property Management Rental Application for each adult resident
- A complete Pet Screening Profile (No Pet/Household Pet/Assistance Animal)
- All required documentation uploaded to our online portal
- $49 application fee for each Rental Application
Required Documentation
- Valid driver's license or government-issued photo ID for each applicant
- Verifiable proof of income (two months of pay stubs/job offer letter OR last year's tax return if self-employed, including IRS 1099 Form)
- Verifiable cash reserves (two months of bank statements and current balance screenshot)
- Any documentation required for your pets, including your Pet Screening Profile
Applicant Qualifications
Once we receive a complete application, we evaluate it in two stages: first against our Minimum Requirements, then against our Eligibility Standards.
Minimum Requirements
All applicants must pass these checks:
Criminal Background Check
- No felony convictions in the past 2 years for violent crimes, firearms-related charges, sexual offenses, or drug manufacturing/distribution
- Records with "adjudication withheld," "nolle prosse," or "adjudication deferred" may require further documentation
- Applications may be declined if criminal history suggests a threat to health, safety, or property
Tenant Negligence Check
- No history of prior evictions (unless verifiable documentation proves landlord irresponsibility)
- No history of damage to a rental property
- No outstanding balance owed to a previous landlord
Financial Check
- Security deposit of 1.5x monthly rent required (OR enrollment in the Deposit-Free Program)
- Combined gross income must exceed 2.5x the monthly rent plus any additional monthly charges
- Cash reserves must exceed total move-in funds (first month's rent + security deposit + any fees)
- Section 8 vouchers aren't accepted
Eligibility Standards
Applications meeting all of these criteria are eligible for approval without further considerations:
- Each applicant has a verifiable 2-year track record of rental history or mortgage payments in good standing
- Each applicant shows verifiable gross income exceeding 3x the monthly rent plus any monthly charges
- The average of all applicants' credit scores is above 599
- No unresolved collection issues
The Conditional Approval Program
We know life happens. Our Conditional Approval Program is designed to make housing more accessible to folks navigating temporary financial challenges.
If you meet our Minimum Requirements but don't meet one or more of the Eligibility Standards, you may still be approved on the condition that you'll pay a $79/month risk-mitigation fee during your tenancy. This fee helps offset the increased operational costs and may be used to secure additional insurance for the property owner.
The fee can be removed upon request when your lease renews if you then meet the Eligibility Standards.
Conditional Approval is only offered on fully-managed listings. Check the listing description for details.
The Deposit-Free Program
This program lowers the upfront financial burden of a traditional security deposit. If approved, you won't need to pay the 1.5x monthly rent deposit at move-in. Instead, a third-party guarantor will guarantee your security deposit in exchange for a non-refundable monthly fee of $59-$119/month, paid alongside your rent.
You can reduce or remove the monthly fee at any time by making payments toward the deposit. In the event of a valid claim, the guarantor pays up to 1.5x the rent amount, but you'll still be responsible for repaying the claim.
Only available to applicants meeting Eligibility Standards. Can't be combined with Conditional Approval. Approval by the third party isn't guaranteed.
What Happens After Approval
- You'll receive an email with your approval letter. Sign it within 24 hours to hold the property.
- Once signed, you have another 24 hours to submit a non-refundable holding deposit (equal to one month's rent) and pay the $149 lease preparation fee.
- We'll prepare your lease. You'll need to sign it within 48 hours. If not signed in time, the holding deposit is forfeited and the property goes back on the market.
- Your holding deposit applies to your move-in funds. Pay any remaining balance (security deposit, pet fees, etc.) before your move-in date.
- Once all funds clear, utilities are in your name, and any HOA verifications are complete, you'll get keys the morning of your move-in date.
Resident Benefit Package
All residents in PPM-managed properties are enrolled in our Resident Benefit Package ($59/month). Here's what's included:
Automatic enrollment in a compliant $100,000 tenant liability policy covering fire, smoke, water overflow, and more. You can replace this with your own matching policy.
Up to four no-out-of-pocket treatments per year via Cover Pest for bed bugs, fleas, ticks, mites, cockroaches, and weevils.
The correct filter size delivered to your door each month. Just swap it in.
Split your rent into two smaller payments while still having your full rent credited on time. Helps avoid late fees.
Your deposit earns interest in a high-yield savings account. You'll receive a payment for accrued interest each year.
We'll connect you with a platform that lists available utility providers and their contact info to save you time.
Pet Policy
We understand that pets are part of the family, so we strive to allow most animals in most of our rental properties. Check the listing to see if the property you're applying for accepts pets.
All applicants must complete a Pet Screening Profile at LeaseWithProvidence.petscreening.com. Monthly pet fees are based on the Paw Score risk assessment:
Monthly Pet Fees
- Dogs & Cats: Based on Paw Score (5 Paw = $39, 4 Paw = $49, 3 Paw = $59, 2 Paw = $79, 1 Paw = $99)
- Small Birds (Budgies, Finches): $9 per cage
- Large Birds (Parrots, Cockatoos): $19 per cage
- Caged Pets (Hamsters, Gerbils, Guinea Pigs, Ferrets, Reptiles, etc.): $9 per cage
- Fish Tanks: $9 per 10 gallons (50 gallon max)
- Exotic Pets & Tanks Over 50 Gallons: Case-by-case
Other Important Details
Move-in Dates & Lease Length
- Applications with move-in more than 30 days away may need additional approval
- Move-in less than 7 days out can be expedited (subject to approval)
- Standard lease length is 12 months, set to align with summer renewals
Maximum Occupancy
- Efficiency units: 2 occupants max
- All other units: 2 per bedroom plus one
Roommate Situations
Roommate situations (three or more non-immediate-family individuals) may be considered but require a security deposit of at least 3x the monthly rent.

- All applicants must view the inside of the property before approval
- Approval is subject to property-specific terms. Check the listing description carefully.
